Uploading a file
1- Open Chrome > Managed Bookmarks > SCCU SharePoint
2- Click on the 9 Squares menu (top-left)
3- Click on Secure File Transfer
IMPORTANT - DO NOT CLICK
The controls marked below will change SharePoint Settings, not your folders/files.
Your controls start below Documents
4- Open the folder you requested to be created (BDO, Gadens, Contact Centre...)
5- Click on Upload > choose Files or Folder
6- Choose your file on your computer > Open
Wait for them to be uploaded and they'll appear on the page (see point 7 below).
Sharing the File
7- Select the uploaded file on SCCU File Sharing page
8- Click on Share
9- Add SCCU staff, Teams Groups, or email addresses
10- Here you can select the level of access the receiver will have:
a) Can edit - to collaborate in a file together with the receiver - can view, download, edit and change folders (not recommended for general use)
b) Can view - can view and download the file, but can't edit on the website (see On the Receiver End below)
c) Can't Download - can only view on the website
11- (Optional) Add a personalized message - if you don't, a pre-programmed one will be sent
Alternatively, click on Copy link, and email them the link you copied (not recommended but safe to do so).
When you click on Send , there's a confirmation pop-up that your invitation was sent
NOTES:
- It might take over 5 minutes for the email to be sent
- The email will be sent from your mailbox and you can see it in the Sent folder on Outlook
Stop Sharing a File before Automatic Removal
12- Select the uploaded file on SCCU File Sharing page
13- Click on Share
14- Click on the ... at the bottom left of the pop-up
15- Click on Links
16- Check if this is the correct link to stop sharing
17- Click on Stop Sharing > Stop Sharing
On the Receiver End
Once you share the file, they will get an email that looks exactly like this:
Once they click either on the name of the file (i.e. Logomarks_Full colours) or the button Open , they are redirected to our SharePoint website.
Here, they can see the file (SCCU logo in this example) and they have the following options:
1- Edit - this option is only enabled if you shared the file as Can Edit (please see step 10a above)
2- Share - this option is only enabled if you shared the file as Can Edit (please see step 10a above)
3- Copy link - this option is only enabled if you shared the file as Can Edit (please see step 10a above)
4- Download - this option is only disabled if you shared the file as Can't Download (please see step 10c above)
5- Delete - to delete the file shared
6- View original - to view the original file in the original size and specs
7- Embed - to be ignored - this is used to publish this file on a website
8- Copy to - to be ignored - to copy to another folder in SharePoint (but only SCCU staff has this access)
9- Version history - to see every version since it was first published - this option is only enabled if you shared the file as Can Edit (please see step 10a above)
If the file has been removed by them, or revoked by us, they will immediately lose access to it and get this page:
In this case, the file must be shared again to provide access again.
Managing User Access
Staff members assigned to manage the system will get periodic emails like the one below to review user access.
- Click on the Manage Access button
- On the new page, on the right-hand side, you can see the current users
- Click on the three dots > Extend/Remove Access
